Telephone Operator Responsibilities

  • Answer all incoming internal and external calls promptly and courteously following hotel brand standards.

  • Direct calls to the appropriate departments or team members efficiently and professionally.

  • Handle guest requests and inquiries received through phone, email, or other communication channels.

  • Log and follow up on all guest requests using the hotel’s communication or guest service system.

  • Provide accurate information regarding hotel facilities, services, and local attractions.

  • Coordinate with Housekeeping, Engineering, and Front Office to ensure timely completion of guest requests.

  • Handle wake-up calls accurately and deliver messages promptly.

  • Maintain confidentiality of guest information and ensure all calls are handled with discretion.

  • Report any unusual occurrences or guest complaints immediately to the Duty Manager or relevant department.

  • Monitor emergency lines and follow proper procedures during fire alarms or other emergencies.

  • Maintain a calm, pleasant tone at all times to reflect the hotel’s service culture.

  • Ensure all telecommunication equipment is functioning properly and report any faults to IT or Engineering.
