Duties and Responsibilities:

Administrative Support

  • Maintain department files, maintenance records, equipment manuals, and other documentation in an organized and accessible manner.

  • Prepare and distribute daily, weekly, and monthly reports (e.g., maintenance activities, utilities consumption, preventive maintenance schedules).

  • Draft and type correspondence, memos, purchase requests, and other administrative documents.

  • Handle incoming and outgoing communications for the Engineering Department.

Coordination & Scheduling

  • Coordinate preventive maintenance schedules and follow up with the engineering team for task completion.

  • Track work orders in the system (e.g., HotSOS or Opera) and ensure timely updates and closure.

  • Schedule vendor visits, service contracts, and inspections as directed by the Chief Engineer.

  • Assist in coordinating with other departments regarding maintenance requests and project updates.

Procurement & Inventory

  • Prepare purchase requests and track materials, tools, and parts orders.

  • Maintain inventory records of engineering supplies and equipment.

  • Follow up with suppliers on quotations, deliveries, and service contracts.

  • Ensure compliance with Marriott purchasing procedures and standards.

Reporting & Compliance

  • Prepare energy consumption reports, maintenance logs, and monthly departmental summaries.

  • Maintain records for safety inspections, permits, and certificates (e.g., fire safety, elevators, chillers).

  • Support in audits by providing accurate documentation and data as required.

  • Ensure adherence to hotel policies, safety procedures, and brand standards.

Guest & Team Support

  • Log and monitor guest maintenance requests, ensuring prompt resolution.

  • Communicate effectively with front office and housekeeping regarding room maintenance status.

  • Assist the Chief Engineer in preparing duty rosters, leave schedules, and training records.

Skills & Qualifications:

  • Diploma or degree in Administration, Engineering, or related field preferred.

  • Prior experience in hotel administration or engineering support role is an advantage.

  • Strong computer skills (MS Office, Excel, Outlook, and maintenance software such as HotSOS or Opera).

  • Excellent organizational and multitasking skills.

  • Strong communication and coordination abilities.

  • Fluent in English; knowledge of Arabic or other languages is a plus.

  • Attention to detail and ability to maintain confidentiality.
