Events Planning Executive

Key Responsibilities:

  • Handle event inquiries, prepare proposals, and guide clients through the entire planning process.

  • Coordinate with clients to understand their objectives, preferences, and event requirements.

  • Prepare detailed event orders (BEOs) and ensure timely communication with all internal departments.

  • Follow up with relevant teams—F&B, Banquets, AV, Housekeeping, Front Office—to ensure event readiness.

  • Conduct site inspections, showcasing event spaces and highlighting available services.

  • Assist in budgeting, quoting, and ensuring events align with revenue goals.

  • Monitor event setups and provide on-site support to ensure alignment with the client’s vision.

  • Address last-minute changes or challenges with a calm, solution-oriented attitude.

  • Maintain accurate records, contracts, and documentation for each event.

  • Build strong client relationships to encourage repeat business and positive feedback.

  • Support the Events Manager in implementing sales strategies and promotional activities.

  • Ensure all events follow brand standards, safety guidelines, and quality expectations.

Skills & Qualifications:

  • Previous experience in Events, Banqueting, Sales, or a related hospitality field.

  • Strong organizational and time-management skills with keen attention to detail.

  • Excellent communication and interpersonal abilities.

  • Proficient in event systems, BEO creation, and hotel software (Opera, CI/TY, etc.).

  • Ability to multitask and manage multiple events simultaneously.

  • Creative mindset with strong problem-solving skills.

  • Professional presentation and guest-focused approach.

  • Fluency in English; additional languages are an advantage.
