Assistant Reservation Manager – Bay La Sun Hotel & Marina Jeddah, KSA

The Assistant Reservation Manager supports the Reservations Manager in overseeing all hotel reservation activities, ensuring optimal room inventory management, high booking conversion, and exceptional guest service. This role coordinates with sales, front office, and revenue management teams to maximize occupancy and revenue.

Key Responsibilities

Reservation Operations

  • Assist in managing daily reservations and room allocation to ensure maximum occupancy.

  • Oversee individual and group bookings, ensuring accuracy in dates, rates, and guest preferences.

  • Handle booking amendments, cancellations, and special requests efficiently.

  • Maintain updated reservation records in the PMS (Opera, OnQ, Protel, or similar).

Team Leadership & Training

  • Supervise and support the reservations team, including Reservation Agents and coordinators.

  • Conduct coaching and training sessions to improve team performance and productivity.

  • Monitor team adherence to standard operating procedures (SOPs) and brand standards.

Revenue & Inventory Management

  • Assist in optimizing room inventory and managing overbooking situations.

  • Collaborate with the Revenue Management team to implement pricing strategies.

  • Monitor daily room forecasts, arrivals, and departures to support revenue goals.

Guest Relations

  • Ensure all reservation-related guest inquiries and complaints are handled promptly and professionally.

  • Provide VIP guest support and ensure special requests are accurately logged and communicated.

Reporting & Administration

  • Prepare daily, weekly, and monthly reservation reports for management review.

  • Support audits of reservation systems and ensure data accuracy.

  • Assist in implementing new reservation policies, procedures, or software updates.

Skills & Competencies

  • Strong leadership and team management skills

  • Excellent communication and customer service abilities

  • Detail-oriented and highly organized

  • Knowledge of hotel PMS and booking engines (Opera, OnQ, Protel, etc.)

  • Analytical skills for forecasting and revenue optimization

  • Ability to multitask and work under pressure

Qualifications

  • Bachelor’s degree in Hospitality Management or related field preferred

  • 3–5 years of experience in hotel reservations, with at least 1–2 years in a supervisory role

  • Experience in a 4- or 5-star hotel environment

  • Familiarity with online distribution channels and global reservation systems
