Stores Assistant

The Stores Assistant is responsible for receiving, storing, and issuing supplies and equipment while maintaining proper inventory control and storage standards. The role ensures smooth operations within the purchasing and stores department by keeping accurate records, maintaining cleanliness and organization, and supporting daily hotel operations.

Key Responsibilities:

  • Receive, inspect, and verify all incoming goods against purchase orders and delivery notes.

  • Ensure all items are stored properly, following hotel policies and hygiene standards.

  • Issue materials and supplies to departments as requested, maintaining accurate documentation.

  • Assist in maintaining up-to-date inventory records and conduct regular stock checks.

  • Monitor stock levels to prevent shortages or overstocking and report discrepancies promptly.

  • Ensure all storage areas are clean, well-organized, and compliant with safety and sanitation standards.

  • Support the Purchasing Officer and Cost Controller with inventory reconciliation and data entry.

  • Label and arrange items according to category and expiry date (FIFO – First In, First Out).

  • Coordinate with Finance and Procurement to ensure accurate and timely reporting of goods movement.

  • Handle all materials with care, ensuring minimal waste or damage.

Requirements:

  • Previous experience in a storekeeping or inventory control role, preferably in a hotel or hospitality environment.

  • Basic knowledge of procurement and inventory management systems.

  • Strong organizational and numerical skills with attention to detail.

  • Proficiency in MS Office (especially Excel); experience with materials control software (e.g., MC, FMC) is an advantage.

  • Ability to lift and move goods safely as per operational requirements.

  • Flexibility to work various shifts as needed.
