Telephone Operator Responsibilities

Answer all incoming internal and external calls promptly and courteously following hotel brand standards.

Direct calls to the appropriate departments or team members efficiently and professionally.

Handle guest requests and inquiries received through phone, email, or other communication channels.

Log and follow up on all guest requests using the hotel’s communication or guest service system.

Provide accurate information regarding hotel facilities, services, and local attractions.

Coordinate with Housekeeping, Engineering, and Front Office to ensure timely completion of guest requests.

Handle wake-up calls accurately and deliver messages promptly.
-
Maintain confidentiality of guest information and ensure all calls are handled with discretion.
-
Report any unusual occurrences or guest complaints immediately to the Duty Manager or relevant department.
-
Monitor emergency lines and follow proper procedures during fire alarms or other emergencies.
-
Maintain a calm, pleasant tone at all times to reflect the hotel’s service culture.
-
Ensure all telecommunication equipment is functioning properly and report any faults to IT or Engineering.
