The Event Cum Admin Coordinator is responsible for supporting the planning, coordination, and execution of events while handling day-to-day administrative tasks. The role ensures smooth event operations, effective communication, and efficient office administration.
Key Responsibilities
Event Coordination

Assist in planning, organizing, and executing corporate, social, and internal events

Coordinate with vendors, suppliers, and service providers (AV, décor, catering, logistics)

Prepare event schedules, checklists, and operational briefs
-
Support on-site event setup, coordination, and breakdown
-
Handle guest lists, invitations, RSVPs, and event communications
-
Ensure events are delivered according to brand standards and client requirements
Administrative Responsibilities

Manage correspondence, emails, and phone communications related to events and administration

Prepare reports, proposals, contracts, and event documentation
-
Maintain accurate records, files, and databases
-
Assist in budgeting, invoicing, and expense tracking for events
-
Coordinate internal meetings, schedules, and office logistics
-
Support procurement and inventory related to event and office supplies
Coordination & Communication

Act as a liaison between internal departments and external partners
-
Ensure timely follow-ups and clear communication with stakeholders

Handle guest or client inquiries professionally and efficiently

Qualifications

Bachelor’s degree in Event Management, Business Administration, Hospitality, or related field preferred

Minimum 1–3 years of experience in event coordination or administrative support

Experience in hospitality or corporate events is an advantage
Working Conditions

Flexible working hours, including weekends or evenings during events

Ability to stand for long hours and manage on-site event activities
